NORTH TEXAS REGION 2024 EVALUATION WINDOW + OFFER & ACCEPTANCE INFORMATION

  1. OFFER AND ACCEPTANCE PROCEDURE:

a. RECRUITS AND RECRUITING

A Recruit is considered to be any Athlete or Athlete’s family who is a current member of USA Volleyball that is not a member of your club in the USA Volleyball registration system. Clubs and club representatives (adult members registered with your club) making or discussing offers to join any specific team for the upcoming USA Volleyball season with any recruit before the conclusion of all North Texas Region Championships is prohibited.  A club may discuss specific teams for the upcoming season with current members of their club at any time. The use of any “pre-tryout” type language for camps and clinics is permitted only after the conclusion of all North Texas Region Championships.  Soliciting potential recruits to discuss their club program and services by any club representative at USA Volleyball sanctioned tournaments before the Evaluation Window is prohibited.

b. EVALUATION WINDOW (TRYOUTS)

The evaluation window (Tryouts) for the upcoming USA Volleyball season shall start on the first Saturday after the last day of competition for all age groups at the USA Volleyball Girls Junior National Championships. The evaluation window last until the Acceptance Date.

c. PRIOR TO THE EVALUATION WINDOW OPENING

Prior to the evaluation window opening clubs may run camps, clinics, leagues, lessons, beach programs and performance training.  Clubs can accept reasonable payment for these offerings during this time.  Clubs cannot accept payment for anything related to the upcoming USA Volleyball season.  Clubs requiring a payment during this time as a pre-payment on future season club fees or to secure a position on a team will be considered a violation of the North Texas Region policy.

The Online Commitment System (OCS) will be the only binding offer system recognized by the North Texas Region and is only available on the Acceptance Date.  Any verbal offers made during this time will not be recognized by the North Texas Region.  Any offers made that include signatures or financial consideration prior to the acceptance date will be considered a violation of the North Texas Region policy.

d. ACCEPTANCE DATE

Club directors may make a binding offer and may accept any form of payment on the Acceptance Date.

For all USA Volleyball age groups, the acceptance date is on the Tuesday after the last day of competition for all age groups at the USA Volleyball Girls Junior National Championships. 

The North Texas Region shall supply an Online Commitment System (OCS) that may be used to ensure the offer and acceptance by both parties. Offers made via this system may only be made using the login of the club director of record in the USA Volleyball registration system. These offers must then be accepted by the athlete’s guardian. Once an offer is accepted, the athlete will need to meet the prerequisites outlined in the offer. After the prerequisites are met, the offer is then acknowledged in the Online Commitment System by the club director that the Offer and Acceptance process is complete. The athlete will then need to choose their club in the USA Volleyball registration system when it opens on September 1st.

It is impermissible for any other club representative to approach an athlete about a position in any other club once the athlete/family accepts an offer (before and after it is acknowledged). It is also a violation for that athlete’s family to pursue an offer from a different club. After the athlete/family have accepted an offer, the club director has 72 hours to ACKNOWLEDGE the athletes offer in the Online Commitment System. 

Confirmed violations of the policies as outlined here would result in sanctions that would range from a probationary warning to the entire club not being allowed to participate in the region. It is the intent of this policy to define and curtail some unethical recruiting practices. Should these policies be deliberately or maliciously abused, the offender maybe subject to the most severe of sanctions. 

All personal business/legal commitments made between the club and a player’s family will remain the responsibility of the related parties. The North Texas Region will not be responsible for enforcing private agreements. Contracts between a club and family are independent of any region obligations and policies.

Tryout T-shirt Included.  Shirts may be limited if paying at the door.

What to Bring: proof of USAV membership

Offers: Verbal offers may be given after the following date-May 6th.  Official offers may be sent on July 16th..
